The short version
- Lintel stores what your office would otherwise write on a whiteboard.
- That includes information about other people — vendors, purchasers, buyers and viewing attendees — who never signed up for Lintel themselves.
- Data is stored in the United States, not New Zealand.
- Each agency's board is private to that agency.
- There is no advertising, no analytics, and nothing is sold to anyone.
Who this applies to
Lintel is software used by real estate agencies to track listings. Two groups of people appear in it, and the Privacy Act 2020 treats them differently.
Account holders are the agents who sign in. Everyone else — vendors, purchasers, prospective buyers and viewing attendees — has their details entered by an agent, without ever using Lintel.
What is stored about account holders
Your name and email address, which agency you belong to, and a record of changes you make to properties (what changed, and when). Passwords are handled by our authentication provider and are never visible to Lintel.
What is stored about other people
Whatever an agent types into a property or the buyer register. In practice that means:
- Vendor and purchaser names
- Buyer names, phone numbers, email addresses, budgets and requirements
- Optional viewing feedback, interest, price opinions and follow-up notes
- Property addresses, prices, dates, conditions and free-text notes
Where it is stored
Lintel runs on infrastructure located in the United States. Specifically:
- Neon — the database, in AWS
us-east-1(Northern Virginia) - Vercel — hosting and application servers, in Washington DC
- Clerk — sign-in, passwords and session management
This means personal information is held outside New Zealand. Information privacy principle 12 of the Privacy Act 2020 governs sending personal information overseas, and agencies should satisfy themselves that this arrangement suits their obligations before entering other people's details.
Who can see it
Each agency is isolated. Every record belongs to one agency, and every query is restricted to the agency of the person making it — one office cannot see another's board, buyers or history.
Within an agency, everyone invited to it can see the whole board — every property, every buyer, optional viewing feedback and the full history. Roles decide only who may manage the team (inviting, removing, changing roles) and the agency's own settings; they do not restrict what anyone can see. So invite only people who should see all of it.
Nothing is sold, rented, or shared for advertising.
How long it is kept
Properties and their optional feedback stay until deleted, including properties marked withdrawn or settled. Individual feedback records can be edited or deleted. The property change history is append-only — it is deliberately never edited or deleted, because a board whose past can be rewritten is not worth keeping.

Cookies and tracking
Lintel sets one kind of cookie: the session cookie that keeps you signed in. There is no advertising, no analytics, no tracking pixels and no third-party scripts that follow you anywhere.
Your rights
Under the Privacy Act 2020 you may ask to see the personal information held about you, and ask for it to be corrected if it is wrong. That applies whether or not you have a Lintel account — if an agency has recorded you as a vendor, purchaser, buyer or viewing attendee, you can ask.
Requests about a particular agency's board are best made to that agency, since they decide what to record. If that is not practical, contact us and we will help.
If something goes wrong
If a breach occurs that causes, or is likely to cause, serious harm, we will notify the affected agencies and the Office of the Privacy Commissioner, as the Privacy Act 2020 requires.

Changes
If this policy changes in a way that affects what is collected or where it is stored, account holders will be told before the change takes effect. The date at the top always reflects the current version.
